Conferencing Privacy Policy

This Privacy Policy describes how Easy Peasy Vietnamesy ("we," "us," "our") collects, uses, and protects information in connection with your use of the EZPZ Tutor-Student Video Conferencing integration ("Integration") feature on our website ("Website"). This policy applies specifically to the data processed to enable this Zoom integration for authorized teachers ("you," "User").

By authorizing and using the Integration, you acknowledge you have read and understood this Privacy Policy.

1. Information We Collect

When you successfully authorize the Integration by completing the authorization flow initiated on our Website and completed on Zoom's platform, we collect and securely store the following specific piece of information provided by Zoom:

  • OAuth Token: An access token provided by Zoom that allows our custom application ("EZPZ Tutor-Student Video Conferencing") to perform authorized actions (specifically, creating Zoom meetings) on your behalf via the Zoom API. This token allows the Integration to function without requiring us to store your Zoom password.

We do not collect or store your Zoom email address or any other personal information from your Zoom account through this Integration process.
 

2. How We Use Your Information

We use the collected OAuth token solely for the purpose of enabling the Integration's functionality. This includes:

  • Authenticating your connection between our Website and your Zoom account.

  • Allowing the EZPZ Tutor-Student Video Conferencing application to create Zoom meetings via the Zoom API when initiated by you through our Website interface.

  • Ensuring a seamless connection for creating meetings without requiring you to re-authorize the application for every session.

The OAuth token is used exclusively to facilitate the creation and management of Zoom meetings initiated through our Website for the purpose of connecting teachers with students.

3. Data Sharing

We will not sell, rent, trade, or share your Zoom OAuth token collected via this Integration with any third parties, except as strictly necessary to interact with the Zoom API to provide the described meeting creation service. The token is used solely for the internal purpose of connecting teachers and students via Zoom through the Website as initiated by you.

4. Data Security

We implement reasonable administrative, technical, and physical security measures designed to protect the confidentiality and integrity of the stored Zoom OAuth token against unauthorized access, disclosure, alteration, or destruction.

5. Data Retention

  • The Zoom OAuth token is stored only for as long as necessary to provide the Integration service to you while you are actively employed or contracted with Easy Peasy Vietnamesy and require the use of the feature.

  • For teachers who leave the company, the stored Zoom OAuth token will be deleted from our systems as part of the standard offboarding process. No data related to this Integration will be stored past the time of employment or contract termination.
     

6. Your Rights and Choices

  • Revoking Authorization: You have the right to revoke the EZPZ Tutor-Student Video Conferencing application's access to your Zoom account at any time. This is done directly within your Zoom account settings:

    1. Log in to the Zoom website (zoom.us).

    2. Navigate to the Zoom App Marketplace (https://marketplace.zoom.us/).

    3. Click "Manage" > "Installed Apps".

    4. Find the "EZPZ Tutor-Student Video Conferencing" application.

    5. Click "Uninstall".

    • Please note: Revoking authorization via Zoom will immediately prevent the Integration from functioning on our Website but does not automatically delete the OAuth token previously stored on our systems.

  • Requesting Data Deletion: You have the right to request the deletion of your stored Zoom OAuth token from our Website systems. This may be relevant after revoking authorization in Zoom or upon leaving the company. To request deletion:

    1. Please send a request via our Contact Us form, which is available on any page of our website.

    2. Clearly state in your message that the request relates to the deletion of your Zoom Integration data (specifically, the OAuth token).

    4. We will process your request in accordance with applicable data protection laws and confirm once the data has been deleted.
       

7. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. If we make material changes, we will notify you directly (e.g., via email or internal announcement) to provide you with the opportunity to review the changes before they become effective.
