Conferencing Privacy Policy

1. Introduction
This Privacy Policy outlines how Easy Peasy Vietnamesy ("we", "us", "our") collects, uses, and protects data in connection with our Video Conferencing Integration ("Integration"). This Integration allows authorized teachers on our website to connect their accounts from third-party video conferencing services like Zoom or Google Meet (hereafter referred to as "Providers").

This policy should be read in conjunction with our main website Privacy Policy. For specific instructions on how to use or manage the integrations, please refer to our Conferencing Documentation.

2. Data We Collect and Why
When you choose to connect a Provider to your teacher account, you will be redirected to that Provider's secure authentication page. If you grant authorization, we collect and securely store the following information:

  • Authorization Tokens: We receive and store secure access and refresh tokens (OAuth tokens) from the Provider. We do not collect or store your password for the Provider's service.
     

We collect these tokens for the sole purpose of enabling the Integration's functionality, which is to allow you to create video meetings directly from our website's Teacher Portal.

3. How We Use Your Data and Limited Use Policy
The Authorization Tokens are used exclusively to make automated API calls to the Provider on your behalf when you initiate an action (e.g., clicking "Create Meeting").

  • For Google Meet: Our application requests access to the https://www.googleapis.com/auth/calendar.events scope. We use this permission only to create a new Google Calendar event, which is necessary to generate an associated Google Meet link for your tutoring session. Our application does not read, store, share, or delete any of your other existing calendar data.

  • For Zoom: Our application uses its permission to create a new meeting in your Zoom account.
     

Our use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. Data Sharing
We will not sell, rent, trade, or share your Authorization Tokens with any third parties, except as strictly necessary to interact with the Provider's own API to deliver the video conferencing service as described.

5. Data Security and Retention
We implement reasonable security measures to protect the confidentiality and integrity of your stored Authorization Tokens.

  • Retention: Tokens are stored only as long as they are needed to provide the Integration service to you as an active teacher.

  • Deletion: For teachers who leave the company, all Integration-related Authorization Tokens will be deleted from our systems as part of the standard offboarding process.
     

6. Your Rights and Managing Access
You have full control over the Integration and can revoke our application's access at any time.

  • Revoking Authorization: To disconnect the integration, you must do so directly within your Provider's account settings. This will immediately prevent our application from accessing your account. For step-by-step instructions, please see our Conferencing Documentation.

  • Requesting Data Deletion: Revoking authorization does not automatically delete the tokens stored on our website. To request the permanent deletion of your stored Authorization Tokens from our systems, please contact us using the methods described on our Support Page.
     

7. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide you with notice as appropriate under the circumstances.
